This Privacy Policy explains how Booka, Inc. (“Booka,” “we,” “our,” or “us”) collects, uses, discloses, and retains personal information when you use booka.com and its subdomains, Booka mobile applications, Booka-powered booking pages and websites, provider business tools, communications, payments, and Booka Events (collectively, the “Services”). It also describes privacy choices and rights that may be available to you.
This Policy applies to beauty and wellness professionals and businesses (“Providers”); people who create Booka profiles, book or receive services, make purchases, or attend Booka Events (“Clients” or “Guests”); event hosts and venue representatives (“Hosts”); website visitors; and others who interact with the Services.
1. Booka’s Privacy Roles
Booka acts as a business or controller for information used to operate Booka accounts, unified Client profiles, cross-Provider booking functionality, Booka Events, security, analytics, communications, and Booka’s own business operations. A Client’s unified Booka Profile may display that Client’s bookings across Providers, but a Provider can access only the information and booking history associated with that Provider.
For certain Provider-controlled records—such as Provider service notes, intake information, client lists, appointment-specific details, and photos uploaded for the Provider’s business—Booka may act as the Provider’s service provider or processor. The Provider determines why and how that information is used, subject to its own privacy obligations and any applicable Data Processing Addendum. Questions about a Provider’s independent practices should be directed to that Provider.
2. Information We Collect
Information you provide
Identifiers and contact information, such as name, email address, telephone number, home or business address, username, login credentials, professional license numbers, Social Security Number, and Taxpayer ID, where applicable.
Account and professional information, such as business name, role, licenses, service offerings, pricing, availability, work history, profile content, and portfolio images.
Booking and transaction information, such as services requested, Provider, location, appointment or event details, purchase history, gift cards, cancellations, gratuities, and payment status.
Event information, such as employer or Host, venue, attendance list, assigned services, check-in details, accessibility requests, dietary or logistical needs, and onsite communications.
Communications and content, such as messages, support requests, reviews, comments, survey responses, photos, videos, testimonials, and information submitted through forms or AI-assisted features.
Information you choose to provide about service preferences, allergies, sensitivities, skin or hair concerns, pregnancy status, medications, or accessibility. Some of this may be sensitive or consumer health data under applicable law and should be collected only through an authorized Booka workflow with required consent.
Identity, compliance, tax, and payment onboarding information provided by Providers or Hosts. Payment-card, bank-account, payout, authorization, security-code, and related information may be collected or processed through Stripe, Booka’s payment-processing partner.
Information collected automatically
Device and network information, including IP address, browser, device identifiers, operating system, language, and approximate location derived from IP address.
Precise device location, when you consent through the Booka mobile application or your device settings. You may stop this collection at any time by changing those settings.
Usage information, including pages viewed, features used, clicks, booking-flow activity, referring pages, dates and times, and diagnostic or performance data.
Cookie and similar-technology information used for essential functionality, preferences, analytics, security, attribution, and, where enabled and permitted, advertising.
Information from other sources
Providers, Hosts, event organizers, employers, venue representatives, or other people who book or coordinate services for you.
Payment processors, identity or fraud-prevention services, communications vendors, analytics providers, social networks, integration partners, and public sources.
Third-party calendars, booking tools, customer-management systems, or other services you choose to connect to Booka.
3. How We Use Personal Information
Provide, personalize, maintain, and improve the Services and unified Booka Profiles.
Create and administer accounts; facilitate bookings, events, check-in, service delivery, payments, refunds, disputes, and customer support.
Share necessary event or appointment information with the applicable Provider, Host, venue contact, or service vendor.
Send confirmations, reminders, schedule changes, safety notices, account messages, and other transactional communications.
Send marketing communications where permitted; measure engagement; and honor opt-out preferences.
Authenticate users, prevent fraud and abuse, protect Participants, investigate incidents, and enforce Booka agreements and policies.
Analyze performance, troubleshoot, conduct research, develop features, and improve Booka products, including AI-assisted features, subject to applicable law and contractual restrictions.
Comply with legal, tax, licensing, regulatory, and recordkeeping obligations; establish or defend legal claims; and respond to lawful requests.
Carry out another purpose disclosed when information is collected or with your direction or consent.
4. Event-Specific Information Practices
For Booka Events, Booka may receive guest lists and contact details from Hosts; collect booking, check-in, service-selection, scheduling, accessibility, and payment information; and generate operational records about staffing, incidents, communications, and services delivered. Booka uses this information to plan and operate the event, communicate with Participants, assign Providers, support safety and accessibility, resolve issues, and document performance.
Booka may disclose event information to the Host, assigned Providers, venue personnel, and vendors only as reasonably needed for the event or as otherwise described in this Policy. Hosts and Providers may also process personal information independently and are responsible for their own notices, permissions, and legal obligations. Booka does not treat attendance at an event as consent to use a person’s identifiable image or testimonial for marketing; separate permission will be obtained when required.
5. How We Disclose Personal Information
We may disclose personal information to:
The Provider with whom you book or the Host and event personnel coordinating your requested services.
Vendors that support hosting, data storage, communications, analytics, customer support, identity verification, fraud prevention, payment processing, insurance, event production, and professional services.
Business partners or integrations when you request or authorize the connection.
Government authorities, regulators, courts, or other parties when reasonably necessary to comply with law, protect rights and safety, investigate misconduct, or establish or defend claims.
A buyer, investor, lender, adviser, or successor in connection with a merger, financing, reorganization, sale of assets, bankruptcy, or similar transaction.
Other parties at your direction, with your consent, or as otherwise disclosed when information is collected.
Booka does not sell personal information for money. Certain disclosures involving analytics or advertising technologies may be considered “sharing,” “targeted advertising,” or a “sale” under some state privacy laws even when no money changes hands. Where applicable, Booka will provide a method to opt out and will honor legally recognized browser-based opt-out signals.
Text-messaging originator opt-in data and consent are not shared with third parties for their own marketing purposes.
6. Payments
Payment transactions are processed through Stripe. Stripe may collect payment-card, bank-account, identity, tax, fraud-prevention, and transaction information under its own privacy policy and contractual obligations. Booka may receive payment information you provide to Stripe, including payment-card details, expiration date, authorization or security code, Taxpayer ID, transaction status, and related records as needed to operate the Services, troubleshoot issues, reconcile payments, issue refunds, manage disputes, and comply with law.
7. Cookies and Similar Technologies
Booka and its vendors may use cookies, pixels, software development kits, local storage, and similar technologies. Some are essential for sign-in, security, bookings, and preferences. Others help measure performance, understand usage, attribute campaigns, or support advertising where enabled. You can adjust browser settings and any cookie preference tool Booka makes available. Blocking essential technologies may prevent parts of the Services from working.
Booka will respond to browser-based opt-out preference signals, such as Global Privacy Control, when required by applicable law. Because “Do Not Track” is not a uniform legal standard, Booka does not otherwise respond to DNT signals unless required.
8. Communications Choices
You may unsubscribe from marketing email using the link in the message. You may opt out of marketing text messages by replying STOP or following the instructions provided. Consent to marketing texts is not a condition of purchase. You may disable mobile push notifications in your device settings. Booka may continue to send non-promotional messages necessary for accounts, bookings, events, transactions, security, or legal notices. Providers and Hosts are independently responsible for marketing messages they send outside Booka or through Booka at their direction.
9. Sensitive and Consumer Health Information
Booka does not intend general booking or event tools to collect protected health information subject to HIPAA. A Provider subject to HIPAA may use Booka for protected health information only after entering into a Business Associate Agreement and using Booka services configured and approved for that purpose.
Providers may collect information relating to physical characteristics or health—such as allergies, skin or scalp conditions, topical medications, pregnancy, accessibility, or service contraindications—as part of their business records. The Provider is responsible for determining whether this is consumer health data or sensitive information and for providing required notices and obtaining required consent. Booka processes Provider-controlled information on the Provider’s behalf under the Terms of Service and any applicable Data Processing Addendum and does not sell or use Provider-collected health-related information for targeted advertising. Where Booka independently collects consumer health data and a separate policy or consent is required, Booka will provide it separately.
10. Data Retention
Booka retains personal information for as long as reasonably necessary for the purposes described in this Policy, including to provide the Services, maintain transaction and booking records, comply with legal and tax obligations, prevent fraud, resolve disputes, enforce agreements, and maintain appropriate backups. Retention depends on the type of information, the relationship, legal requirements, and operational needs. When information is no longer required, Booka will delete, de-identify, or securely dispose of it, subject to lawful exceptions and backup cycles.
11. Security
Booka uses administrative, technical, and physical safeguards designed to protect personal information. No security measure or transmission method is completely secure, and Booka cannot guarantee absolute security. Users are responsible for maintaining strong credentials, protecting account access, and promptly notifying support@booka.com of suspected unauthorized activity.
12. Your Privacy Rights
Depending on where you live and subject to legal exceptions, you may have rights to request access to, correction of, deletion of, or a portable copy of personal information; learn about categories of information collected, used, or disclosed; opt out of sale, sharing, targeted advertising, or certain profiling; limit certain uses of sensitive information; withdraw consent; or appeal a denied request. Booka will not unlawfully discriminate against you for exercising a privacy right.
To submit a request or opt out of sales, sharing, or targeted advertising, email privacy@booka.com or use a privacy request method made available through the Services. Describe the request and provide the information reasonably necessary to locate your account and verify your identity. Booka may request additional verification and may decline or limit a request where permitted by law. Authorized agents may submit requests where allowed, subject to proof of authority and identity verification. To appeal a decision, email privacy@booka.com and state that you are appealing. You may also visit Booka’s website with a legally recognized opt-out preference signal, such as Global Privacy Control, enabled.
If Booka processes information solely for a Provider, Host, or other business as its service provider or processor, Booka may direct your request to that organization or assist it in responding.
13. Children
The online Services are not directed to children under 13, and Booka does not knowingly collect personal information online directly from a child under 13 without verifiable parental consent. If Booka learns that it collected such information without required consent, it will take reasonable steps to delete it. Provider accounts are intended for adults, and Booka does not knowingly permit a person under 18 to maintain a Provider account without parental consent. Booka does not knowingly sell or share personal information about consumers under 16. A parent or guardian who believes a child has provided information may contact privacy@booka.com. Minors may attend events or receive services only under arrangements made by an authorized adult and in compliance with applicable law.
14. U.S.-Only Availability
The Services are currently available only for use within the United States. By using the Services, you represent that you are located in the United States and otherwise eligible to use them. Creating a Booka account outside the United States violates the Terms of Service, and Booka may terminate such an account.
15. Third-Party Services
The Services may link to or integrate with third-party websites, applications, calendars, social networks, payment services, or Provider websites. Their privacy practices are governed by their own policies. Booka is not responsible for third-party privacy practices, and users should review those policies before providing information.
16. Changes to This Policy
Booka may update this Policy from time to time. Booka will post the revised version, update the “Last Updated” date, and provide any additional notice required by law. Material changes apply prospectively unless law permits otherwise.
